Who orders it
The advance ship note lists codes, inner counts, master counts, the yard, and the appointment. Read it against your email, not against a memory of a call. If a line is missing, reply before the truck. A missing line found at the door is harder, because the door is a clock.
Carton facts
Time, door, and contact name should all be present. If the contact is away, change it in the thread. Drivers will not hunt through a shop. They wait the grace period and leave.
The email that works
Lot codes appear on pantry, beauty, and wellness. The ASN lot and the flap lot must match. A mismatch is a stop. Do not shelve the goods while we sort it. Sorting is easier when the carton is still a carton.
What we will not do
Keep the ASN with claim photos. Put the number in the first line of the claim. You get a faster credit. We get a cleaner book.
Print this sheet or keep it with the ASN. It is written for the person at the door, not for a slide. Questions that the sheet does not answer belong on the order thread, with the code, not in a new mailbox. orders@insta.us is the cut.

Read asn checklist before you write, not after the driver leaves. Put the code in the first line and the quantity in the body, in packs, unless you mean masters and say so. Ten is ten inners. That single rule sits behind more of these sheets than people expect.
Keep one thread. A second subject becomes a second pick, and then asn checklist cannot tell which truck you meant. Forward the thread to the person at the door so they are not counting from memory. Memory signs the wrong exception.
Credits, when a sheet ends in a credit, are memos in USD against the invoice. Do not short-pay a different order and call it even. Weather and holiday clocks, when they apply, live in the confirmation and outrank a general page. If asn checklist and the confirmation disagree, believe the confirmation and write back on that thread.
Before you send
Put ASN checklist in the subject with the yard and the window, and put the quantity in the body as packs unless you truly mean masters. Forward that thread to the person who will meet the truck, because a receiver working from memory signs the wrong note. If this is your first order, two inners on the sample floor teach more than a pallet you cannot store. Newark and Columbus are the calm doors for a first count. Heat yards and winter yards can wait until you know the paper. A confirmation that names a different day than this page is the day to plan. Reply there, not in a new mailbox.
