Who orders it
Put CLAIM and the code in the subject of the order thread. One issue. Lot code if the family has one. Photos of the flap, the inner, the damage, and the ASN line. Same day if you can. Five business days if the miss was hidden in a band.
Carton facts
Helen Cho matches your photos to the outbound photos. If ours already show the fault, the credit moves. If ours show a good carton, we ask what happened after delivery. A theory about a driver is not a fact until a note supports it.
The email that works
Heat claims need dock context. A tin that melted in your window is not a yard fault. A tin that arrived soft, photographed on the plate, is. The answer does not change because the week was busy.
What we will not do
Credits are a memo, not cash in an envelope. Apply it to the next invoice or to the original. Do not short-pay an unrelated invoice and call it even.
Print this sheet or keep it with the ASN. It is written for the person at the door, not for a slide. Questions that the sheet does not answer belong on the order thread, with the code, not in a new mailbox. orders@insta.us is the cut.

Worked use
Read claims sheet before you write, not after the driver leaves. Put the code in the first line and the quantity in the body, in packs, unless you mean masters and say so. Ten is ten inners. That single rule sits behind more of these sheets than people expect.
Keep one thread. A second subject becomes a second pick, and then claims sheet cannot tell which truck you meant. Forward the thread to the person at the door so they are not counting from memory. Memory signs the wrong exception.
Credits, when a sheet ends in a credit, are memos in USD against the invoice. Do not short-pay a different order and call it even. Weather and holiday clocks, when they apply, live in the confirmation and outrank a general page. If claims sheet and the confirmation disagree, believe the confirmation and write back on that thread.
Before you send
Put Claims sheet in the subject with the yard and the window, and put the quantity in the body as packs unless you truly mean masters. Forward that thread to the person who will meet the truck, because a receiver working from memory signs the wrong note. If this is your first order, two inners on the sample floor teach more than a pallet you cannot store. Newark and Columbus are the calm doors for a first count. Heat yards and winter yards can wait until you know the paper. A confirmation that names a different day than this page is the day to plan. Reply there, not in a new mailbox.
